Terms of Service
Effective
1. What Grove is
Grove is software for freelancers and service businesses. It gives you one place to keep leads, clients, projects, tasks, proposals, contracts, invoices, files, meetings and time, along with a portal your clients can use to see the work you share with them.
Grove is a tool. It is not an accountant, a lawyer, a tax adviser or a payment provider, and nothing it produces — an invoice, a proposal, a contract template or a report — is professional advice. You are responsible for deciding whether what you send a client is correct and appropriate for your business.
By creating an account or using Grove, you agree to these terms. If you do not agree to them, please do not use it.
2. Early access and changes to the software
Grove is in early access. It is actively being built, which means features can be added, changed, or removed, and behaviour you rely on today may work differently tomorrow. We will not make a change we know to be destructive without telling you, but we cannot promise the product will stay the same.
Some parts of Grove are deliberately not switched on yet. Where that is the case, the interface says so rather than pretending otherwise.
3. Your account
- You need an account to use Grove, and the details you give when you create one must be accurate.
- You are responsible for keeping your password secure and for everything that happens under your account.
- Do not share your account credentials. If you need someone else to see a client's work, send them a portal link instead.
- Tell us promptly if you believe someone else has access to your account.
- You must be old enough to enter into a contract where you live, and you must not use Grove on behalf of a business you are not authorised to represent.
Client portal links are credentials too. Anyone holding a portal link can see what that link grants access to, so share them only with the client they were created for. You can revoke a portal link at any time.
4. Acceptable use
When you use Grove, you agree not to:
- use it for anything unlawful, or to store or send content that is unlawful, fraudulent, or infringes someone else's rights
- send unsolicited bulk or marketing email through Grove — the email Grove sends is transactional: invoices, proposals, contracts and portal invitations to your own clients
- attempt to access another workspace's data, bypass access controls, or probe, scan or test the security of the service without our written permission
- upload malware, or use Grove to distribute it
- interfere with the service or place an unreasonable load on it, including through automated scraping or bulk requests
- resell, rent or white-label Grove as your own product
- misrepresent what Grove does to your own clients — including describing features as available when the product tells you they are not
5. Your data, and your clients' data
Everything you put into Grove stays yours. We do not claim ownership of your business records, your documents, or the files you upload. We use them to operate the service for you, and for nothing else. How they are handled is described in the Privacy Policy.
Most of what you enter into Grove is information about other people — your clients and their businesses. You are responsible for that information: for having the right to record it, for its accuracy, for what you choose to upload, and for what you share with a client through their portal. Do not put anything into Grove that you are not permitted to hold or that you would not be comfortable storing in a third-party business tool.
You are also responsible for the content of the messages Grove sends on your behalf. Grove delivers them; you wrote them.
Keep your own copies of records that matter — invoices, contracts and signed documents in particular. Grove is not a backup service.
6. Payment and billing
Grove is free while it is in early access. There is no card on file, no charge, and nothing to cancel.
Card payment processing is not currently live in Grove. No card details are collected anywhere in the product, no payment processor is connected, and no money moves through Grove. Where the client portal refers to paying an invoice, it explains how to pay you directly — marking an invoice paid in Grove is a record you keep, not a payment we processed.
If paid plans begin, we will tell you before anything is charged, and you will have to agree to it. Prices shown on the site describe what a plan is expected to cost once early access ends; they are not a charge you have agreed to today.
7. Third-party services and integrations
Grove relies on third-party infrastructure to run — hosting, database and authentication, and email delivery. These are listed in the Privacy Policy. Their availability affects ours.
Google Calendar synchronisation is built but is not enabled in production. Grove does not connect to your Google account, and Settings reports calendar sync as unavailable. If it is switched on later, connecting it will be your explicit choice.
8. Availability
We work to keep Grove running and correct, but we do not guarantee that it will be uninterrupted, error-free, or available at any particular time. It may be unavailable for maintenance, because of a fault, or because a service it depends on has failed. There is no service level agreement and no uptime commitment.
The service is provided as it is, and as it is available. To the fullest extent the law allows, we make no warranties about it — express or implied — including that it will meet your requirements or be fit for a particular purpose.
9. Suspension and termination
You can stop using Grove whenever you like. To have your account and its data deleted, email hello@usegrove.space from your account address.
We may suspend or terminate an account that breaches these terms, that puts other users, their clients or the service at risk, or where we are required to by law. Where it is reasonable and lawful to do so, we will tell you first and give you a chance to put it right.
We may also stop offering Grove, in whole or in part. If we do, we will give you reasonable notice and an opportunity to retrieve your data before it is deleted. After an account is closed, its data is deleted and cannot be recovered.
10. Our liability to you
To the fullest extent permitted by law, Grove is not liable for indirect or consequential loss, or for loss of profit, revenue, business, goodwill, anticipated savings, or data, arising out of your use of the service.
Nothing in these terms limits liability that cannot be limited by law — including liability for death or personal injury caused by negligence, or for fraud.
Because Grove is currently provided free of charge, no fees have been paid to us in respect of it, and our aggregate liability to you is limited accordingly to the fullest extent the law allows. If paid plans begin, this section will be revisited and you will be told before it changes.
11. Changes to these terms
These terms will change as Grove does. When they change materially, we will update the effective date at the top of this page and let account holders know by email or in the product. Continuing to use Grove after a change means you accept the updated terms.
12. Governing law
A governing law and venue have not yet been set for Grove. This section is a placeholder and will be completed here before Grove leaves early access. Until it is, nothing in these terms is intended to remove rights you have under the law that applies where you live.
13. Contact
Questions about these terms, or about anything Grove does with your data: hello@usegrove.space.
